Privacy Policy
C T Scott Ltd respects your privacy and is committed to handling your personal information responsibly. This Privacy Policy explains what we collect through our website, how we use and protect it, and your rights under UK data protection law.
1. Who we are
The website is operated by C T Scott Ltd, registered in Scotland under company number SC519336. Our registered office is The Yard, Premnay, Insch, Aberdeenshire, AB52 6QN. Email: info@ctscott.co.uk. We are the data controller for personal information collected directly through this website.
2. Information we collect
When you use the general enquiry form or email us, we may receive your name, email address, telephone number, enquiry details and any information you choose to include. Job applications sent by email may include a CV, employment history, qualifications and related information.
Depending on your preferences, we may also receive technical and usage information such as IP address, approximate location, browser and device type, traffic source, pages visited and website interactions. Security services may process information needed to identify automated or abusive submissions.
3. How we use your information
- To respond to enquiries about machinery, servicing, precision farming, parts and other services.
- To assess employment applications and communicate with candidates.
- To improve website content, navigation and performance where you have consented to analytics.
- To protect the website and forms from spam, misuse and security threats.
- To meet applicable legal obligations and maintain appropriate records.
Submitting an enquiry does not automatically add you to a marketing mailing list.
4. Lawful bases for processing
Under the UK GDPR, we rely on the lawful basis relevant to each activity: legitimate interests for answering business enquiries, recruitment administration and website security where our interests are not overridden by your rights; contract for steps requested before entering into or performing a contract; consent for optional analytics technologies; and legal obligation where processing is required by law. Recruitment processing may involve steps before an employment contract and legitimate interests in assessing candidates.
5. Contact forms and emails
Our website is built on Webflow. Enquiry form submissions are stored in Webflow and sent by email to the relevant C T Scott team members. We use this information to review, answer and follow up on enquiries. Access is limited to authorised people who need it for their work. Please avoid including sensitive personal information unless it is necessary.
6. Analytics
We use Google Analytics 4 to understand website traffic, sources and general usage, and Microsoft Clarity to identify usability issues through interaction data, heatmaps and session recordings. Optional analytics are intended to load only after you give the relevant consent. You can change or withdraw consent using the site's Cookie Settings control. Further details are in our Cookie Policy.
For more information, see the Google Privacy Policy and Microsoft Privacy Statement.
7. Spam protection
We use Google reCAPTCHA to help protect the enquiry form from spam and automated submissions. It may process device, browser, technical and interaction information for security assessment, including using cookies or similar technologies. See Google's Privacy Policy and Terms of Service.
8. Recruitment
Applications submitted by email are used to assess suitability, communicate with candidates and manage recruitment. Access is restricted to those involved. We propose keeping unsuccessful applications for six months after the recruitment decision, unless there is a lawful reason to retain them longer or you separately agree to be considered for future opportunities.
9. Sharing information
We do not sell personal information. We may share information where necessary with Webflow (website and form processing), our email service provider, Google (analytics and reCAPTCHA), Microsoft (Clarity), and authorised website support providers. We may also disclose information where legally required. We take reasonable steps to ensure appropriate contracts and safeguards apply when providers process information for us.
10. International transfers
Some providers operate internationally and information may be processed or accessed outside the UK. Where required, we use UK adequacy arrangements or other legally recognised safeguards. Contact us if you would like further information.
11. Retention
We keep information only as long as needed for its purpose or a legitimate legal or business requirement. Proposed standard periods are:
- General enquiries: up to 12 months after the last relevant communication, unless a longer ongoing customer relationship or another justified reason applies.
- Unsuccessful recruitment applications: normally six months after the recruitment decision.
- Business and contractual records: for applicable legal, accounting and business obligations.
- Analytics: in accordance with provider settings and retention arrangements.
These arrangements apply to relevant Webflow and email records, allowing for backups where applicable. Information no longer required will be securely deleted or anonymised.
12. Information security
We use reasonable organisational and technical measures, reputable service providers and restricted access to protect information against loss, misuse and unauthorised disclosure. No online system can be guaranteed completely secure.
13. Your rights
Depending on the circumstances, you can request access to personal information, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You can withdraw consent where processing is based on consent. These rights have legal conditions and exemptions. Contact info@ctscott.co.uk to make a request.
14. Complaints
For concerns about how we handle your information, email info@ctscott.co.uk. We will acknowledge a data protection complaint within 30 days, investigate appropriately and communicate the outcome without undue delay. You can also complain to the Information Commissioner's Office at ico.org.uk.
15. External websites
Our website links to independent services, including manufacturer websites, the Kramp portal and Polaris-related websites. Their privacy practices are separate from ours. Please review their policies when using those services.
16. Changes and contact
We may update this policy as our website, services or legal obligations change. The update date will be shown on this page.
